How Long Does a Custom Challenge Coin Order Take?

4 min read

Plan on about 18 to 21 business days from the day you approve your design to the day the coins arrive. Before that production clock starts, there is a short design-and-proof step, usually a day or two of back-and-forth, so you can see exactly what you are getting. If you have a hard deadline, tell us the date up front and we will tell you honestly whether a standard or rush timeline makes it.

There is no charge until you approve your design, so the early steps cost you nothing and do not commit you to anything. The rest of this page walks through where the time actually goes and how to plan around a deadline.

The Timeline, Step by Step

The one part with real variability is the first stretch, because it depends on how quickly the design is settled. A simple design approved on the first proof moves fast; a detailed one with a few revision rounds adds a little time at the front. The 18 to 21 business days is the dependable part once your artwork is approved.

  • You send your idea or artwork (minutes, through the Design Studio or a quick message)
  • We prepare a free digital proof of the front and back, usually within about a day
  • You approve the proof or ask for changes (revisions are included, not an added charge)
  • Production and delivery: about 18 to 21 business days from approval to the coins in your hands

Why 18 to 21 Business Days

That window covers production by our manufacturing partner, transit to our facility in Florida, and a quality check before the coins go out to you. We build in a few extra days of buffer on top of the real production and shipping time so that artwork questions, customs, or an unexpected delay do not blow past the date we gave you.

Every order is made to order, so there is no shelf stock to pull from. That is why the timeline starts at design approval rather than at checkout, and it is the same 18 to 21 business day window across coins, pins, patches, dog tags, belt buckles, and bottle openers. Our minimum order for challenge coins is 25 pieces.

The Proof Step Comes First

Before anything is produced, our design team turns your idea into a digital proof: a rendered image of your coin, front and back, showing the artwork, text, size, and finish as they will be made. Proofs are free and typically ready within about a day.

You review the proof and either approve it or request changes. Nothing is produced and there is no charge until you approve, so this step is where you lock in the details without any pressure or cost. Approving the proof is what starts the production clock.

Rush Orders and Deadlines

If you are working toward a retirement ceremony, a graduation, a reunion, or another fixed date, start as early as you can and tell us the deadline at the beginning. The Design Studio has a spot to enter your need-by date and flag an order as a rush.

Rush timelines are handled case by case rather than as a fixed fee, because the honest answer depends on the size, the quantity, and how fast the proof is approved. The single biggest thing you can do to protect a deadline is to approve the proof quickly, since that is the step most under your control.
